On the Internet you can find many articles on the design of business trips. Such publications usually collect lists of documents that can be issued for reporting on a business trip. However, at the moment, not all of them are mandatory. In our new article – the documents necessary for drawing up a business trip.
Documents required for business trips
The main document on the basis of which the business trip is carried out is an order. This document is mandatory. To prepare it, you can use a unified T-9A form or your own template. The order usually indicates the name and position of the employee, describe where he is sent, and how much the business trip will last.
Another document mandatory for registration of a business trip is an advance report. It is composed after the completion of the business trip in order to report on the costs covered by the company to complete the service assignment.
The document includes the name of the organization, number, date, as well as the unit and position of the employee. In addition, they indicate the reason for the preparation of the report – this is a business trip – and prescribe the amounts of the issued advance and actual costs.
Documents are also applied to the advance report to confirm the costs of accommodation, travel, etc.
Optional closing documents
A few years ago, the number of mandatory documents for the design of the business trip included an official task (T-10A form). At the moment, it is not necessary to draw up this document, but some companies still make it up for the convenience of reporting. At the same time, one of the tasks is a report on its implementation, the employee is filled out after returning from the trip
A travel certificate since 2015 is not a mandatory document. However, no one forbids him to compose. If the document is drawn up, then at each destination the employee puts a note into it on the date and time of arrival, and the receiving party certifies them with a signature and seal (if possible).
