TOP-5 common errors when making business trips

A business trip is a rather difficult event, the organization of which is always involved in different employees, it requires the correct execution of documents and is regulated by various norms and rules. It is not difficult to make a mistake in such conditions. Today we will talk about the most popular of them.

Error #1: Send on a trip people who cannot be directed

Not all managers know, but according to the current rules on a business trip, you can send not any employee at all. There are a number of employees who cannot be sent on business trips. In our blog, we have already studied this list earlier, we will briefly go through it again. So, you can’t send on a trip:

  • Pregnant art. 259 of the Labor Code of the Russian Federation
  • employees working under a student agreement (if the trip is not related to the goals of their studies) of Part 3 of Art. 203 of the Labor Code of the Russian Federation
  • minors (exception: professional athletes and creative personnel, the list of these professions can be checked in Article 268 and Article 348.8 of the Labor Code of the Russian Federation)
  • employees who were registered as candidates for the electoral authority during the election period (part 2 of article 41 of the Federal Law No. 67 “On Basic Guarantees of Electoral Rights”)
  • disabled, if this is contrary to medical recommendations (Article 23 of the Federal Law No. 188 “On the Social Protection of the Disabled”).

Error #2: Do not take consent to a business trip

There are also categories of employees for whom there are restrictions in terms of business trips. Among them are children under three years old, parents-single parents under 5 years old, people who care for sick relatives or children with disabilities. Such workers can be sent on a business trip only if they have written consent.

If the employer does not notify employees about their right to refuse the trip, this is a serious violation. If the labor inspector finds it, the company will receive a fine.

Error #3: Lack of a business trip order

Another common mistake is the lack of an order to send a business trip. Since 2013, companies are allowed not to use the unified forms of such an order – each employer can approve and use their own forms. But this does not mean that the order may not be in principle.

Each business trip should be correctly executed, and the first step is the presence of an order. Often for simplicity, the company use unified forms of T-9. We attached a sample of such a form to this article.

Error #4: not filled working time of working time

A business trip is a period during which the employee performs working tasks. So, it is necessary to fill out the time of working hours. Including, it is necessary to correctly affix codes for work on weekends (K/RV) – on business trips, such a need often arises.

Error #5: Demand to fulfill duties not prescribed in the employment contract

Perhaps one of the most common mistakes is that on a business trip there is a great temptation to ask the employee to do some work, because “it is necessary” or “there is no one else”. In fact, the employee must fulfill the responsibilities that are registered in his employment contract.

Therefore, to force employees to carry out tasks that are not included in the list of duties from the employment contract is a violation.
